Meeting Minutes: May 8, 2018

Location: Gold Mine Room

Meeting called to order by: Angel Zayaz – President

Attendance: Angel Zayaz, Linda Leonard, Amanda Paschal, Marly Dombrower, Jenny Brown, Nikki Driessner

Approval of Minutes: Minutes from April meeting were approved.


Officer Reports:

-Book fair transfer has been completed

-Pay voucher for new shirts to EPI s ready $1,745.29. Amanda moves to pay for the shirts, Linda seconds, approved.

-Going forward we need to ensure addresses on invoice and W-9 match

-Monthly statement: 2 items not accounted for – $1600 August deposit that was manually entered and $50 pay voucher manually entered from Nov 8. Inquiry made to central office staff.

-End of the year balance – Can we give some of this to the school rather than hold it? Nothing in our by-laws about what we will carry over –board needs to address this

-District is getting rid of the credit card machines and moving to square (can we use IPADs for this?) Angel will look into getting PTO one over the summer so we have something for Western night.

-PTO needs to schedule a budget meeting over the summer

-Avalanche check has not been received to date

-June 10this the deadline to process items for this school year, so get things turned in soon

-We need to make sure anything that goes out from the chapter has the DCSD logo and our logo

-Teacher grants for the 18-19 school year: $100 for classroom teachers, need a clean receipt (no other items on receipt or tax will not be paid), items should clearly be for school use, reimbursement will come by Direct Deposit. Amanda to get Jenny the form so teachers can shop over the summer. Deadline will be August 30.


Principle’s Report:

A need that has come up is new materials for the book room. Consider using Digger Dash funds to purchase. Teachers of all grades would like sets of varying difficulties on lesson topics for supplemental material. 1 set of books runs around $5,000.

Gold Rush will be getting a new web site soon.




New Business:

Kindie Orientation – Office to supply 5 IPADs for survey; PTO to sell shirts, scholastic books, have school supply flyer and example supply box; box top flyer. Wear red shirts and be there at 5:30pm.

Used Book Sale –May 22 and 23. 22ndset up 8am to 10am and 2pm to 4:00pm. 23rdset up 8am to 4pm. Will sell spirit wear.

Ball Donation Drive – School would rather order new items. Consider bringing out 2 bins at recess.

Momentum at Field Day? – Angel will pass the information on to Ms. Warner. She has things set and will know if it fits this year.

Spirit Wear– Replacement items to arrive today. Putting shirts in the teacher lounge for teacher appreciation week.

School clean up items – Work orders have been issued for all items except the map. Need to find someone who can do the work.

Survey – Kindie survey is ready for Thursday. Consider doing a beginning of the year survey (can it be included in the registration process or included in the beginning of the year emails – send to Jenny and Anita before start of school.)

Text Messaging – $0.05 per text. Monthly fees to hold our name, etc. Board feels it is too expensive at this time.

Western Night –Need to look for items for baskets and silent auction over the summer. Remind Jenny at the start of school to ask teachers for “events” – PTO could pay for lunch if teacher would host.
